What data we process, why, for how long, and what you can always ask us. In plain language.

Who we are

Encima BV is responsible for the personal data processed through this website.

Encima BV, Keibergstraat 112, 8820 Torhout, Belgium. Company and VAT number BE 0478.011.446. Phone +32 50 23 02 00, mail info@encima.com.

What data we process

Data you give us yourself: your name, your company, your email address, your phone number and your question. This happens when you fill in the contact form, book a call, mail us or call us.

Data about your visit, only if you give your consent: your IP address, your approximate location, the time and day of your visit, the pages you view and the device and browser you use. Through Leadinfo we also recognise which company visits the site, based on the IP address.

Apart from that, the site only stores what it needs to work properly, such as your cookie choice.

Why, and on what basis

To answer your question, plan a call and prepare a proposal or a collaboration. We do this because you ask for it or because we have, or are preparing, an agreement with you.

To improve the website and see which companies show interest, with Google Analytics and Leadinfo. This only happens with your consent, which you can withdraw at any time.

To inform you now and then about how we work, our services and news from your sector. We only do this if you choose to receive it or if you are already a client, and you can unsubscribe from every message.

To meet our legal obligations, for example for our accounting.

How long we keep it

A question that does not lead to a collaboration is kept for up to 2 years after the last contact.

Client data is kept for as long as we work together. Invoices and related documents are kept for 10 years, because the law requires it.

Statistics about website visits are kept for a maximum of 14 months in Google Analytics. The cookies themselves and how long they last are listed in our cookie policy.

Who we share it with

We never sell or rent your data, and we do not pass it on for other parties' advertising.

We do work with a few parties that process data for us: Netlify for hosting the website, Google for Google Analytics and Leadinfo B.V. in the Netherlands for company recognition. Google Analytics and Leadinfo only if you gave your consent.

Netlify and Google may process data outside the European Union. This only happens with the safeguards the GDPR requires, such as the EU US Data Privacy Framework or the standard contractual clauses of the European Commission.

Security and confidentiality

We take appropriate technical and organisational measures to protect your data against loss and unauthorised access.

What you tell us when you get in touch is treated as confidential.

References

If you work with us, we sometimes mention your company name or logo as a reference on this website. If you do not want that, let us know in writing and we will remove it immediately and permanently.

Your rights

You can always ask to see, correct, complete or delete your data. You can also ask us to restrict its use, object to it, request your data to take it elsewhere and withdraw a consent.

Mail info@encima.com. We act on your request within 5 working days.

Complaints

If you are not happy with how we handle your data, please tell us first. You can also file a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, www.dataprotectionauthority.be.
